Pricing

Every number we charge is on this page. If you get a quote from us, you have already seen its components here.

MaxPower Labs publishes every price it charges. A 30-minute workflow review is free. The AI & Compliance Readiness Assessment is $3,000 for two weeks and credits in full toward any build. An Automation Sprint covering one workflow is $5,000 plus $1,500 per month. Full platform builds run $44,200 to $72,300 depending on how many distinct workflows they carry.

Start small. Each step earns the next.

Workflow Review

A 30-minute call. You bring the workflow that annoys you most; we map it live and tell you what we’d do about it. You leave with the map whether or not you ever hire us.

AI & Compliance Readiness Assessment

Two weeks of paid discovery, ending in a readout with your leadership.

$3,000credits toward the build
2

Automation Sprint

One workflow off the assessment roadmap. Fixed scope, fixed price, running in your own Microsoft 365 account. Sprints stack: the top two or three priorities off your roadmap land between $10,000 and $15,000, and everything built carries into a platform later rather than being paid for twice.

Platform Build

Your whole operation on one system. Priced by how many distinct workflows it has to carry: $44,200 for a single-site practice with one dominant pipeline, $51,500 for three workflows at 5 to 50 staff, $72,300 for multi-site or multi-payer. Full breakdown below.

$44,200–$72,300+ $1,500/mo Platform Care

Every number above is what you would actually be invoiced. There is no discovery fee, no onboarding fee, and no charge for the first call.

Step 1, in detail

What the $3,000 assessment tells you

Two weeks. Four deliverables you keep permanently, whether or not you build anything with us. The fee credits in full against any build that starts within 90 days.

Before any of these numbers matter, you should know what the current arrangement costs. The roadmap prices every item in hours at your own loaded rates, so the comparison you make is against your real figure rather than ours. A coordinator spending a day a week re-entering the same record is the number most practices have never put on paper.

Security risk analysis

Documented, written, dated. This is the specific artifact most-cited in recent OCR enforcement, and many small practices cannot produce one on request.

Shadow-AI inventory

Every AI and cloud tool actually in use across your practice, including the ones staff adopted without telling anyone, and which of them touch patient information.

AI acceptable-use policy

One page your staff will actually read, covering what may and may not be put into a chatbot. Ready to adopt as written.

Automation roadmap

Prioritized, with the hours-saved arithmetic shown for each item, using your numbers rather than industry averages.

Our guarantee

If it doesn’t show you something you didn’t know, we refund it

You are buying two weeks of attention from a firm you have not worked with before. That is a fair thing to hesitate over, so we carry the risk instead of you: complete the assessment, read the four deliverables, and if none of it tells you something you did not already know about your own practice, email us and we refund the $3,000 in full. You keep the documents either way.

How it starts

Book the free 30-minute review. If the assessment is the right next step we will say so on that call, send the terms and the payment link, and start within a week. If it is not the right step we will say that instead.

No deposit to book. Nothing is charged until you have spoken to someone and agreed the scope.

The arithmetic. The assessment costs 1.3% of a single $225,000 behavioral-health settlement, and you keep all four documents whether or not you build anything with us. Sources →

Step 3, in detail

What you get for a platform build

Priced as one integrated system rather than a menu, because the per-clinician privacy rules and the data layer underneath are what make the boards on top defensible. Three common shapes:

ShapeTypical practiceBuildMonthly
Starter Platform
One core workflow
A single-site practice with one dominant operational pipeline $44,200$1,500
Practice Platform
Three workflows
Sized for a 5–50 staff practice $51,500$1,500
Multi-Workflow Platform
Seven workflows
Multi-site, multi-payer, or heavy referral-source variation $72,300$1,500

Fixed fee, not hourly. You know the price before we start and we carry the scope risk. If the work turns out harder than we estimated, that is our problem, not a change order. Every shape includes the platform and data architecture, the role and per-clinician privacy engine, compliant intake, automation and notifications, reporting and dashboards, the move of your active records, role-based training, and two weeks of post-launch support.

What is not included, said up front

  • Migrating a multi-year historical archive, quoted separately because volume varies enormously, not because your history is optional. Your active records always move as part of the build.
  • A brand-new workflow type added after scope is agreed
  • A read-only portal for external case managers or referrers
  • Integration with another system you already run
  • Advanced operational analytics: cycle time, bottlenecks, SLA compliance
  • AI document drafting and referral triage

Adding a new client contract that reuses an existing workflow is configuration, not development. That is covered by Platform Care.

Ongoing

Keeping it running after go-live

Starts at go-live, not at signature. Twelve-month initial term, then month-to-month on 30 days’ notice. Sprints and platform builds run on Standard at $1,500 a month, because both come with an enhancement allowance you will actually use in the first year. It is a separate line on your invoice, not a fee folded into the build price.

For scale: $1,500 a month is $18,000 a year, which is less than a part-time coordinator and does not resign, take holiday, or leave with the process in their head.

PlanPer monthSuits
Essential$500 Support and admin only, no enhancement allowance. Suits a small standalone deployment you do not expect to change.
Standard$1,500 Support, admin, small enhancements, report tweaks, system health, Microsoft 365 change management. Response within four business hours if work is stopped, next business day otherwise. This is the tier that comes with every sprint and platform build.
Priority$3,000 Everything in Standard, but response within one business hour, plus a weekly touchpoint and a larger enhancement allowance.

Pricing questions

Why publish prices at all?

Because the usual approach is worse for both sides. Months of unpaid discovery followed by one large number the client has never seen before reads as a cliff, not a staircase, and it turns the final conversation into a negotiation about price instead of a decision about the work. Publishing every price means you can decide whether the work is worth doing, on your own timetable, before you ever speak to us.

What if my project doesn’t fit these numbers?

Then we say so on the free call. Some practices need one automation and not a platform. Some need nothing at all yet. The four steps exist so there is an honest answer for each of those, including the one where you walk away with a free workflow map and no invoice.

Doesn’t our EHR already do this?

For clinical records, yes, and we would not replace it. SimplePractice, TherapyNotes and the rest are good at notes, scheduling and claims. What they are not built for is the operational layer around the chart: tracking a funder authorization through approval, knowing which reports are waiting on a supervisor signature, seeing which referrals have gone cold, and stopping the same record being re-typed into a board and two spreadsheets. That work is why practices end up in Trello in the first place. We build that layer and leave your EHR exactly where it is.

Why is there a monthly fee if we own the system outright?

Because the platform underneath it does not hold still. Microsoft ships changes to SharePoint and Power Automate continuously, staff join and leave, permissions need adjusting, and flows fail silently if nobody is watching them. Platform Care covers that plus small enhancements and adding new client contracts that reuse an existing workflow. You are not renting the software. You own it, and you can cancel Care after the first year and keep running it, or hand it to any developer. The fee buys someone paying attention, not permission to use your own system. It starts at go-live rather than at signature, and the initial term is 12 months before it goes month-to-month.

What does this actually cost over three years?

Take the Practice Platform at $51,500 plus Platform Care Standard at $1,500 a month. Year one is $69,500, years two and three are $18,000 each, so roughly $105,500 over three years. We would rather you do that arithmetic here than discover it in month fourteen. Whether it is worth it depends entirely on what the duplicate work is costing you now, which is what the free call is for.

We are between the $5,000 sprint and the $44,200 platform. What then?

Sprints stack. Each one is $5,000 for one workflow at fixed scope, so if a full platform is more than you need, the sensible move is to take the two or three highest-value items off your assessment roadmap and do those. That puts you in the $10,000 to $15,000 range without signing a larger number first. If you later move to a platform, the sprint work carries into it rather than being thrown away.

We were burned by a consultant before.

It is the objection we expect most. The usual shape is a large fee, months of discovery, and a document at the end. Everything about how we sell is built against that: prices published so you are never surprised, a two-week paid step before any large commitment, a refund on that step, deliverables you keep whichever way it goes, sign-off at every build phase, and a system in your own Microsoft 365 account that you own and can take elsewhere. You should still ask us hard questions on the call. We would think less of you if you did not.

What if the assessment isn’t useful?

Then we refund it. Complete the assessment, read the four deliverables, and if none of it tells you something you did not already know about your own practice, email us and we return the $3,000 in full. You keep the risk analysis, the inventory, the policy and the roadmap regardless. We can offer this because the deliverables are real work products rather than a sales document, and because a practice that genuinely already knows all of this is one we would rather not have taken money from.

Does the assessment fee really credit toward the build?

Yes, in full, against any Automation Sprint or Platform Build that starts within 90 days. It is stated in the assessment terms, not left as a verbal promise.

Can we pay in stages?

Yes. The assessment is paid up front because it is only two weeks. Sprints take a 50 percent deposit with the balance on acceptance. Platform builds are billed across six milestone phases, and you sign off on each phase before the next begins.

What is not included?

Microsoft 365 licenses, which you buy directly from Microsoft so the account stays yours. We do not mark them up and we never touch them. Business Premium, which is the plan most practices need for the security and compliance features, was, as of August 2026, $22 per user per month on an annual commitment and $26.40 month to month. For a 15-person practice that is roughly $4,000 a year, paid to Microsoft rather than to us. Check the current figure with Microsoft before you budget it. Migrating a multi-year historical archive, which is priced separately because the volume varies enormously. Brand new workflow types added after scope is agreed. Anything on the expansion list, which we quote as its own piece of work rather than absorbing it and rushing the original build.

Not sure which step you need?

That is exactly what the free call is for. We will tell you which step fits, including that none of them do yet.
